Question on speeds send and receive on outlook?

HI was wondering if someone could shed some light, Currently we have mailcow installed on hetzners servers but we noticed users which have outlook the send and receive takes a long time, even though the ping is around 168ms
on Sogo works perfect, not sure what else i should be checking out?
the server VM we gave it 32 gigs of ram and 12 CPU

Using Outlook is such a pain, lately got surprised that there are 2 outlooks “Outlook” and “Outlook (classic)” after switching to classic one half of problem magically disappear, but it is still shitty even using Gmail account, so i think Outlook is to blame,…

And “Outlook” one have several subversion for example one with and one withouts support of external data files,… Just a mess

How is which kind of Outlook configured, with IMAP/SMTP or ActiveSync?
Be aware that with New Outlook MS is storing your IMAP/SMTP credentials, and every mail is retrieved via their servers. So MS always gets a copy of your mails.
And the problem with ActiveSync is that SOGo has a very old API level, and MS constantly changing the API. So chances are that Outlook will stop working with ActiveSync soon. That is the reason why SOGo will remove ActiveSync next year.
Either they would have to pay MS to get the latest API specifications or they would need to put huge efforts in reverse engineering (which they did so far).

I too had to switch clients to more reliable and versatile MUA than Outlook. We used Thunderbird, which has built-in support for CalDAV and CardDAV. Plus the Quicktext Addon, which saved them lots of time!

In my case, it seems that Outlook (Classic) has some serious issues with IMAP connections (no matter to where Gmail, Mailcow, etc). Especially if the user has a lot of IMAP folders.

Last but not least, as esackbauer already mentioned, with Outlook users needs to pay special attention not to get transfered to the New Outlook that steals all the user information!

thanks for the reply, so what we did to make it super fast to only sync the inbox and not all the folders, we put a task to all folders every 180mins, and another task every 1min and worked but yeah its currently IMAP,
so quick question there going to remove active sync? so i assume the only thing to sync calendars and contacts would be https://caldavsynchronizer.org/

Yes, or use Thunderbird or eM Client. They are also better in terms of speed 😉

If you dont need Calendar in the mail client, then you could also try mailspring. It supports CardDAV for syncing contacts with mailcow.

I think it would be very bad if SoGo removed EAS.
All of our mail clients are linked via Active-Sync.
Works great.
From stationary work computers to notebooks, iPads or iPhones.
No problem with Android mobile phones either.
One port - one installation - works.

If the update will come, I would be grateful for help on how to prevent the SoGo update.

I even viewed entire mailboxes from other users on my iOS devices. Works wonderfully quickly and is refreshingly easy to handle.

You would have to provide a few more details about your upload and download times. For example, how long does it take to send an email?
Uploading about 4 MB takes about 10 seconds for me via Outlook.
We have our server physically located in-house.
With MS Exchange the upload took noticeably shorter. But no reason to complain.

CK_beats o wow, we currently have it on hetzner the ping is around 200ms, so what we did is to only download refresh the inbox and not the whole folders, but for active sync you dont have the issue with users has around more then 20 subfolders?
normally sending email is fast the issue was when we did on outlook the send and receive part

We just joined Mailcow a few weeks ago.
The data from the existing Exchange mailboxes was not migrated. They are stored separately in an email archive. Unfortunately, I cannot yet say how long it will take to synchronize large amounts of data.

The day before yesterday I set up a new workstation and connected Outlook to Mailcow. Mailbox size is currently just over 300 MB. They were synchronized in about 3 minutes.
We don’t have users with many subfolders.
Only the standard folders such as Calendar, Inbox, Contacts and Deleted Items are present.
Unfortunately I can’t tell you more about this at the moment.

oh gotcha yeah we had users with around 100 gigs of mail and around 30 sub folders in active sync wouldn’t work only way was IMAP

This is how much memory we used on the MS Exchange Server. However, the data was separated out and not transferred to Mailcow.
It could also simply be that your rented server is reaching its processing limits.

killmasta93 The first thing that comes to mind is to start with an archiving solution. Storing large files in email attachments just puts unnecessary strain on the mail server. And the next step would be to teach the users that a mail server is not a substitute for a file server.
